A quote is an offer that expires, and the expiry is the point

Send a price with no end date and you have made an open-ended promise. Your costs move, your availability moves, your suppliers move — and the client can still accept last season's number. The valid-until date is what converts a standing liability into a decision someone has to make, and it is the only deadline in a sale that you do not have to invent or justify.

Thirty days is the default here and a reasonable norm. The right figure is however long you are genuinely willing to hold that price, which is a question about your own cost base rather than about the client.

Scope is what disputes are actually about

Arguments at the end of a job are rarely about the total. They are about whether one particular thing was included — the extra round of revisions, the logo, the hosting, the training session mentioned once on a call.

The line descriptions are where that gets settled, and the useful move is to write what is not included alongside what is. "Three page designs, two revision rounds; copywriting and photography not included" costs one extra clause and removes the entire category of argument. A client who reads that and says nothing has agreed to it.

Quote or estimate — the word sets the expectation

People use the two loosely, and the difference matters. A quote generally offers a fixed price for a defined scope: accept it and the number holds. An estimate signals a considered figure that may move as the work reveals itself.

The legal weight of each varies by jurisdiction, so the safe practice is not to lean on the label. Say it in the document: either "this price is fixed for the scope described" or "this is an estimate and will be confirmed once X is known". Being explicit costs a sentence and settles what the reader is entitled to assume.

Turning an accepted quote into an invoice
