Almost every generated email is too long

This is not a defect in the model — it follows from what it does. Language models produce fluent, coherent prose, and fluent prose is longer than an effective email should be.

The reader is scanning on a phone between other tasks and needs the ask in the first two lines. Generated drafts characteristically open with throat-clearing instead: a greeting, a pleasantry, a restatement of context the recipient already has, with the actual request arriving somewhere in paragraph three.

The one edit that matters most

Find the sentence containing the actual request and move it to the top. Then delete everything above it that the reader already knows.

Before: "I hope this email finds you well. As we discussed in our last meeting, I've been working on the project timeline. I wanted to reach out about the deliverables…"

After: "Can you confirm the deliverables by Friday?"

That single edit improves most generated emails more than any amount of rewording, and it takes about ten seconds.

The structure that works

Four elements, in this order: what you want, why it matters to them, what happens next, and by when. Anything not serving one of those is a candidate for deletion.

Note the second one — why it matters to them, not to you. Generated drafts reliably explain your situation rather than their reason to act, and that substitution is why an otherwise well-written email gets no reply.

Subject lines

A subject line should describe the content or the required action rather than being a label. "Invoice 402 overdue, need payment by Friday" gets read. "Following up" does not.

It deserves as much attention as the body, because it determines whether the body is read at all. The tool generates subject lines under 60 characters — short enough to survive truncation on a phone, which is where most email is triaged.

One ask, stated specifically

An email requesting three things reliably gets a reply to one. If you genuinely need three answers, number them explicitly so the reader can work down the list, or send separate emails.

And vague closings produce nothing. "Let me know your thoughts" is not a request — there is no action in it, no deadline, and nothing for the reader to do. Replace it with the specific thing you want and the date you want it by.

Where drafting genuinely helps

Getting past a blank screen on an awkward message. Softening something you wrote while annoyed — a genuinely good use, since the draft gives you distance. Writing in a second language where you are unsure of the register.

In each case the value is having something to edit rather than something to send.

Do not send an AI-drafted email unread, particularly a sensitive one. It can adopt a tone you did not intend, commit you to something you have not agreed, or reference a detail you never supplied — and email cannot be recalled.
